You’re getting inquiries. You’re having great conversations. Maybe you’re even jumping on discovery calls. But when it comes time to actually book, people disappear. Sound familiar?
Here’s what I want you to know: this is not a visibility problem. It’s a bottleneck. And the good news is that most booking bottlenecks are small, fixable, and hiding in very predictable places.
In Episode 16 of Lindsey Talks Tech, we’re zooming in on your booking process to find exactly where things are breaking down and what you can do about it without overhauling your entire business.
There Are Three Places Where Clients Tend to Drop Off
Before we talk about fixes, it helps to understand where the leaks are actually happening. In almost every service-based business, the drop-off happens in one of three places:
- Before the call
- After the call
- In the follow-up
Let’s walk through each one.
Bottleneck #1: Before the Call
This is where someone is interested but they never actually take the next step. They might DM you, browse your website, or ask about your services, but they never book the call.
The culprit here is almost always friction. If someone has to:
- Dig through your content to figure out how to work with you
- Check multiple links to find the right one
- Guess what to do next
…they’re going to drop off. People don’t book when the path forward is unclear.
The fix: Make your next step obvious and easy. That might look like:
- A clear “Work With Me” link
- A direct booking link placed in multiple spots
- A streamlined inquiry form that sets clear expectations upfront
A client of mine had an overwhelming intake form just to book a discovery call, and unsurprisingly, calls weren’t getting booked. Once we simplified the form and added her booking link in her website header, footer, blog posts, and emails, the friction disappeared and so did the drop-off.
Bottleneck #2: After the Call
This one is huge and one of the most overlooked places where conversions quietly die. The call went great. They seemed excited. And then nothing.
Most of the time this isn’t about the call itself. It’s about what happens after. If your post-call process is unclear, inconsistent, or slow, people lose momentum. And once that momentum is gone, it’s really hard to get it back.
The fix: Create a clear post-call pathway. That means:
- Defining the next step before the call even ends
- Setting clear expectations, like letting them know you’ll send over a proposal with their invoice and offer summary
- Giving a timeline so they know exactly when to expect it
The less confusion there is after interest, the better your conversions will be.
Bottleneck #3: The Follow-Up Gap
This is the bottleneck almost everyone underestimates. You send something, they don’t respond, and you either wait too long to follow up or you follow up once and then stop. Meanwhile, your potential client gets busy, forgets, or just needs a little more time, and the opportunity quietly disappears.
The fix: Build a simple, consistent follow-up system. Not complicated, just repeatable. A basic rhythm might look like:
- Follow up two to three days after your initial message
- Check in again a few days after that
- Keep each message short, clear, and supportive
You don’t need a complicated sequence. You just need to stay on their radar.
How to Find YOUR Bottleneck
You don’t need to fix everything at once. You just need to ask yourself one question: where are people dropping off?
Look at your recent leads and trace the path:
- People clicked to your booking page but didn’t complete it? That’s a pre-call issue.
- They had a great call but never moved forward? That’s a post-call issue.
- They were genuinely interested but then went quiet? That’s a follow-up issue.
Find the drop-off point, fix that first, and then build from there.
What You Actually Need to Get Booked
Here’s something I believe deeply, and this is coming from someone who genuinely loves a good funnel: you do not need a complex system to get booked consistently. What you do need is three things:
- Speed: Timely responses, quick follow-up, and clear timelines
- Clarity: Simple offers and next steps with no confusion in the process
- Consistency: Doing the same thing every time instead of reinventing the wheel or relying on your memory
That combination will outperform a so-called perfect funnel every single time.
Tools like Dubsado (affiliate link) can be incredibly helpful here, not because they magically fix your process, but because they support a clear one. Things like sending contracts and invoices quickly, automating onboarding steps, and creating a smoother client experience all become much easier when the right tool is backing a process that already makes sense.
Ready to Fix Your Booking Process?
If you’re reading this and thinking, okay, I know exactly where I’m losing people, this is what we work through inside the Booked and Ready Challenge, happening April 21st through the 23rd. It’s not about rebuilding your entire business. It’s about fixing the parts that are quietly costing you clients so that more of the right people actually say yes.
You don’t need more leads. You just need fewer leaks.
